Why your PDF will not compress much

Understand why some PDFs shrink dramatically while others remain close to their original size.

The PDF may already be optimized

Compression works by finding data that can be represented more efficiently, especially large images. A PDF exported for the web may already contain compressed photographs, subset fonts, and optimized internal objects. Running another compressor cannot remove data that is no longer redundant.

A 20 MB raw scanner file might shrink substantially, while a 900 KB digitally exported report may change very little. A small reduction is not necessarily a failure; it can mean the source was already efficient.

Image content controls the largest tradeoff

Scans and photographs usually account for most of a PDF’s size. Stronger compression can reduce their resolution or image quality, but it cannot promise a particular final size. Fine print, signatures, diagrams, and screenshots can become harder to read before a strict portal limit is reached.

  • Remove unnecessary pages before compressing.
  • Start with the recommended setting and inspect the result.
  • Use gentler compression for fine print and technical diagrams.
  • Keep the original as the quality reference.

Avoid repeated compression cycles

Compressing an already compressed result several times may reduce image quality without saving much additional space. Return to the original and choose one appropriate setting instead. If the recipient accepts several files, splitting a long document can be safer than making every page difficult to read.

Forms, signatures, attachments, layers, and specialized PDF features should be tested after optimization. File size is only one requirement; the finished document still needs to open correctly and preserve the information the recipient needs.
